We are seeking a highly organised and professional Medicals Administration Officer to join our busy healthcare team. This role is integral to the successful coordination and administration of workplace and pre-employment medical assessments, ensuring all services are delivered safely, efficiently, and in accordance with industry standards.

Working closely with our Doctors, Nurse Manager, Physiotherapist, Nurses, and Administration Team, you will play a key role in supporting occupational health services and maintaining accurate medical records and reporting processes.

Reporting To:  Practice Manager and Nurse Manager

About the Role

As the Medicals Administration Officer, you will be responsible for managing the administrative requirements associated with employment and occupational health medicals. You will ensure all documentation, records, bookings, and reporting are completed accurately and in a timely manner while maintaining compliance with relevant medical and industry standards, including Coal Board Medical requirements.

Key Responsibilities

  • Coordinate and manage bookings, enquiries, and administrative requirements for employment and occupational health medicals.
  • Accurately conduct, record and document medical assessments, including:
    • Spirometry
    • Audiometry
    • Drug and Alcohol screening
  • Prepare, process, and distribute all required medical documentation and reports to clients and relevant organisations.
  • Generate invoices and ensure associated paperwork is completed accurately.
  • Maintain and update the Spirometry Log Book.
  • Ensure all training and certifications remain current to meet industry and medical compliance standards, including Coal Board Medical requirements.
  • Assist with additional administrative and reporting tasks as directed by the Practice Manager, Nurse Manager, or Doctors.
  • Enter data, maintain confidential medical records, and prepare reports for filing and auditing purposes.
  • Manage documentation associated with:
    • Employment Medicals
    • Insurance Reports
    • WorkCover Reports
    • Other occupational health assessments

About You

The successful applicant will possess:

  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Ability to work effectively within a multidisciplinary healthcare team.
  • High level of professionalism and confidentiality.
  • Strong written and verbal communication skills.
  • Proficiency with computer systems and medical administration processes.
  • Experience in medical administration, occupational health, or general practice administration is highly regarded.
  • Knowledge of workplace medical assessments, Coal Board Medicals, or occupational health processes will be advantageous.
  • Experience conducting Spirometry, Audiometry and Drug and Alcohol screening would be highly advantageous.
